2018 AGM: Details, Membership Renewal, Nomination Call, Reading Materials & Agenda

The Ganaraska Freewheelers Annual General Meeting (AGM) will be held at the home of Barb and John Spencer on Saturday, November 17, 2018. See Directory on the “Members Only” page for address and directions.

AGM Details

The actual AGM meeting will start at 6:00 p.m. followed by food catered by Ketch’s Corner in Cobourg. Please remember to bring a $10 contribution per person. 

Members are invited to arrive around 5:00 p.m. for some socializing prior to the meeting. Guests are welcome. Please comment on this post if you plan to come and whether you will bring guests to ensure that we order sufficient food.

Membership and waiver forms for the 2019 season will be available for you to complete. If you prefer, print your own updated forms from our password protected member page: https://ganaraskafreewheelers.com/members-only/member-forms/

Nominations for Executive Positions & Ride Volunteers

There are four executive positions in the club that need to be filled for next season:

1)     President (2-year term) (One nomination so far)

2)     Vice President (1-year term)

3)     Secretary (2-year term)

4) Webmaster (2-year term) (One nomination so far)

Any Club member may apply for any one of these positions, duties of which are outlined in our proposed new By-Laws discussed later in this email. However you are required to have another member nominate you and yet another member as seconder. If you wish to be considered for one of these positions, send a confidential email to the Club executive at ganaraskafreewheelers@gmail.com to express your interest. This must be done on, or before, Tuesday, November 6, 2018. Be sure to include the names of your nominator and seconder. As noted, we have already received one nomination for President and for Webmaster, a proposed new position on the Executive.

We are also seeking a volunteer for one of the Tuesday Ride Coordinator roles. As this is not an Executive position, you may email ganaraskafreewheelers@gmail.com or simply comment on this post.

To be Read Prior to the AGM

Please read the minutes of last year’s AGM that are available for viewing in the membership section of our website. This saves time at our AGM. 

Also on our website in the same place as our member application and waiver forms are:

1)     Proposed new bi-laws for your careful review prior to the AGM that include one new Executive position (Webmaster) and job descriptions for all Executives, among other refinements. A motion will be made at the AGM to adopt them, followed by a discussion.

2)    A proposed incident reporting form and process

3)     A copy of our insurance policy which we have discussed with our Insurance Provider to clarify liability concerns.

Finally, earlier today, a draft agenda was shared by email with all members. If you did not receive this email, or have questions about the upcoming AGM, please send an email to ganaraskafreewheelers@gmail.com prior to Tuesday, November 6, 2018.

    1. BTW – I strongly encourage everyone to read the Proposed New Bylaws prior to attending the AGM as you will be voting on this very important document. The current Executive have, in my opinion, done a terrific job in drafting them so I suggest you thank these wonderful people by actually reading what they have produced. Yes, I was a teacher 🙂

  14. As of last night (Saturday Nov. 3rd) we would appear to have the Ride Coordinator positions for next year sorted out. They are:
    Sue Pott: Tuesdays, August to October
    Peter Reitknecht: Tuesdays, April to July
    Katherine Smith: Fridays, August to October
    Brian Hedney: Fridays, April to July
    No-one else would appear to have expressed interest in one of these onerous positions; however, I don’t think any of us would be terribly upset if we were to be replaced 🙂
